Office Assistant Responsibilities
• Answering phones, data entry & filing;
• Oversee all financial transactions, such as credit card reconciliations, manage the accounts payables and accounts receivables process
• Work with the general contractor or project manager and provide detailed financial reporting to ensure costs, timeline, and budget of construction projects are accurately forecasted
• Perform extensive data entry to ensure all financial data is input into Word, Excel and accounting software
• Update and maintain accurate financial records in regards to contracts and job files
• Process invoices, daily job reports (from field) and time cards accurately and on time and resolve any invoice issues
• Safeguard the accuracy of the job files or other duties as assigned to maintain files in an accurate and timely manner
• 5 years of experience in an office in the construction industry is a PLUS
• Exceptional organization, analytical, problem solving, and communications skills are important
• Familiarity with construction accounting concepts, filing, and best practices
• Proficient with Microsoft Office, Excel, and accounting software, such as QuickBooks
Part Time: 25-30 Hours per week to Full Time of 40 hours per week, $20-25.
