Job Summary
Reporting to the Senior Director of Faculty Services, the incumbent supports faculty evaluation processes, including eligibility, timelines, committee formation, tracking, case progression, and administration of reviews in eFaculty, and is the specialist on all performance reviews and periodic evaluations of probationary and tenured faculty.
The incumbent works independently with sensitive and confidential data and is responsible for communication with faculty members, department chairs, deans, and the Office of the Provost related to these processes.
In addition, the incumbent provides data to University Personnel (UP) Management related to the evaluation processes and to grievances related to these processes.
The incumbent is responsible for ensuring CBA and policy adherence and directs policy interpretation questions to appropriate offices as necessary.
Incumbent serves as subject matter expert for establishing faculty processes and training on eFaculty system.
Incumbent interfaces with vendors to leverage product potential to meet SJSU’s needs.
They also work with their team in Faculty Services (FS) and others in UP to ensure end-to-end, from case identification to completion and archiving of reviews.
Incumbent serves to backup other FS team members and works collaboratively to make the unit successful.
Key Responsibilities Oversee processing of tenure line faculty reviews, including establishing calendars for review, oversight of all case creation, movement of cases, managing committees, reviewers, and access to cases, and ensuring timely completion and reporting of outcomes.
Work within the eFaculty software platform to establish cases, assist users, manage access authorization, manage case flow, ensure complete, timely reviews, ensure accuracy of information, provide notifications, distribute evaluations and decisions to candidates and authorized others, and track all recommendations and decisions.
Track and report all tenure line faculty members’ career milestones, such as managing Tenure Clock Stop requests, evaluation eligibility and timelines, evaluation outcomes, retreat rights of administrators.
Manage the reporting of committee members and appropriate administrators and their compliance with training requirements.
Work with Senior Director, Faculty Services to establish workflows, case timelines, calendars, review documents, training materials, and messaging, among other things, that are consistent with CSU guidelines, SJSU Policies, and the CSU-CFA Collective Bargaining Agreement.
Communicate with faculty about dossier materials, adhering to the collective bargaining agreement and University policies and procedures.
Serve as the expert on eFaculty, the suite of evaluation software currently provided by Interfolio.
Work with Faculty Services team to provide quick, effective service to faculty, staff and administrators.
Hold office hours and be available for consultations with SJSU stakeholders in office, chat services, via teleconference, over the phone, via email and other media.
Administer and maintain databases related to faculty eligibility, review outcomes, and so forth in collaboration with other Faculty Services and UP team members.
Provide backup to other Faculty Services team members, including learning other processes, performing duties, and assisting them in their roles as needed.
