Job Summary
The Undergraduate Admissions Program Specialist works independently under general supervision of the Director of Undergraduate Admissions to support San José State University’s commitment to increase online access to higher education for working adult learners, particularly focusing on providing students from historically underserved communities with opportunities to advance their education and obtain their degree.
This position also takes lead direction from the Undergraduate Admissions Leads.
The Admissions Program Specialist is responsible for serving as the point of contact for SJSU Online Enrollment Counselors and for the evaluation and verification of prospective and applicant online learners.
In compliance with university and CSU policies, the incumbent performs complex student services professional work within a centralized admissions environment to determine student applicants’ admissibility to the University, including all processes related to admission evaluation, processing and posting of transfer credit for special sessions programs.
The Admissions Program Specialist also provides admission summative reporting for these online populations, and may serve as a liaison to a number of on-campus departments as well as external partners.
The Admissions Program Specialist may assist the Undergraduate Admissions unit during peak process periods to evaluate and verify freshmen, transfer and post-bac applicants for CSU and SJSU admission eligibility and transfer credit for applicants and admitted students.
Key Responsibilities Serves as the point of contact for admission evaluation inquiries from campus representatives Provide high level, fast paced customer service to prospective applicants and campus representatives by answering complex policy questions, outlining and troubleshooting various documents and batch processes, including transcripts, and documents related to domestic and international admission processes Leads workshops in the community for specialized populations with unique needs (applicants and admitted students) to highlight admission requirements as well as respond to specific questions Provides strategic messaging and coordinates special communication of admissions through graduation with the aim of streamlining the process and evaluation of undergraduate students Reviews, assesses and evaluates all SJSU Online applicants’ documentation and records to determine eligibility for admissions Provides admission evaluation to determine SJSU Online applicant initial eligibility Works towards streamlining transfer credit evaluations processes, in collaboration with other department processes Instructs and helps to train new SJSU Online Enrollment and Recruitment staff Advises on transferable courses, general education courses, and admission requirements Seeks campus wide resources for students who are applying and coming to the university, referring them to the appropriate resources Provides strategic messaging and coordinates special communication of admissions through graduation with the aim of streamlining the process and evaluation of undergraduate students Knowledge, Skills & Abilities Ability to communicate with constituents in a professional and respectful manner Ability to effectively interact with diverse students and employees Ability to work in a high demand and fast paced environment Ability to provide timely and accurate responses, manage multiple priorities and track decisions Ability to reason logically and analyze data to make informed decisions Maintains confidentiality and handles sensitive communications with students, parents, staff, faculty, and external agencies.
Identifies problems and find resolutions in an efficient manner Ability to develop and lead presentations and workshops Strong oral and written communication skills Must possess excellent customer service and public relations skills Handles sensitive communications with students, parents, employees and external agencies Takes initiative and is resourceful in planning work assignments and in implementing long-range program improvements Ability to collect, compile, analyze, and evaluate data and make verbal or written presentations based on these data Ability to advise students individually and in groups on routine matters where required Knowledge of technology and software applications such as: word processing, spreadsheet, database management, and communication tools Ability to handle multiple work priorities, organize and plan work and projects Ability to identify conflict, problem solve, and resolve student problems and concerns in the most efficient manner possible.
Demonstrated ability to plan, organize and implement small- and large-scale events to promote a welcoming and inclusive environment for nonresident students Ability to work in evenings and weekends to meet priority deadlines during peak processing periods Required Qualifications Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related Three (3) years of progressively responsible professional student services work experience.
A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one (1) year of experience.
A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three (3) years of experience for positions with a major responsibility for professional career or personal counseling Preferred Qualifications Master’s Degree Experience working in Admissions, Registrar’s and/or university environment.
Experience in communicating admissions requirements and/or student services policies and procedures to community college, university or high school constituents Experience with PeopleSoft, Microsoft Office, Excel, Google suite, calendaring, databases, and spreadsheets Experience in tracking and problem-solving issues Strong customer service background in a higher education setting Compensation Classification: Student Service Professional III Anticipated Hiring Range: $5,542/month - $5,647/month CSU Salary Range: $5,025/month - $7,159/month San José State University offers employees a comprehensive benefits package typically worth 30-35% of your base salary.
