Join Our Team as a Dispatch Coordinator! Are you organized, proactive, and great at multitasking? We're seeking a dedicated Dispatch Coordinator to join our team and ensure smooth operations in managing appointments, leads, and communication.
If you thrive in a fast-paced environment and enjoy staying on top of multiple tasks, this role is for you! Responsibilities: Confirm and Assign Appointments: Make confirmation calls and remind the project manager about upcoming appointments to maintain schedule accuracy.
Lead Management: Contact leads via voicemail, text, and email, and input them into the system promptly.
Leave detailed messages and follow up as necessary.
Phone Management: Answer incoming calls promptly, keeping the line open for new inquiries.
Listen to missed voicemails and return calls promptly to address customer needs and inquiries.
Appointment Scheduling: Contact leads from previous days who haven't been reached yet and schedule appointments efficiently.
Follow up with leads on scheduled follow-up dates and set future follow-up dates as needed to maintain engagement.
Feedback and Quality Assurance: Update yesterday's appointments based on project manager feedback.
Conduct quality calls with a short survey to ensure customer satisfaction and gather valuable feedback.
Task Management: Create a daily to-do list encompassing all tasks and priorities for the day, ensuring nothing falls through the cracks.
Schedule Management: Review the current schedule to track ongoing jobs, the location of the runner, and any scheduled inspections for the day.
Email and Document Management: Read and organize incoming emails, scanning invoices, receipts, and checking credit card statements as required for efficient financial management.
Report Management: Read and manage reports to analyze data and strategize future marketing and office operations.
License Monitoring: Regularly check license status to ensure compliance with regulations and monitor renewal dates to prevent lapses.
Real-Time Updates: Be available to address requests and updates while updating the system in real-time to maintain accuracy and transparency.
Qualifications: Excellent communication skills, both written and verbal.
Strong organizational and multitasking abilities.
Proficiency in using office software and CRM systems.
Attention to detail and commitment to quality.
Ability to work effectively in a fast-paced environment.
