High-Level Executive Assistant needed to provide administrative, operational, and marketing support to the principal agents and top-ranking Real Estate Team in the San Jose area.
With the help of this individual, the agents will be able to focus more on selling Real Estate and much less on the back-end/daily administrative tasks.
We are looking for an exceptional candidate who is willing to go above and beyond to help the team grow and expand their business - just like other members of this team.
The ideal candidate will possess a background in Real Estate or Project Management; however, this is not a requirement.
The candidate should have a proven track record of creating and implementing systems and procedures in an office atmosphere along with managing end-to-end business operations and overseeing all core social, marketing, and real estate activities.
You are highly presentable, have impeccable follow-through, and have exceptional communication skills, specifically verbal and written etiquette.
This person will have a strong sense of urgency and must enjoy “to-do lists”.
The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team.
This role requires work in the office at least 3 days a week, other days can be hybrid.
Compensation:
Salary Range: $80,000 - $95,000

Responsibilities:
This person's primary responsibilities include, but are not limited to:
Assisting and supporting the owner in all business and personal areas.
Work closely and effectively with the principal agents to keep them well informed of upcoming commitments and responsibilities and follow up as necessary.
Implementing and maintaining database management systems.
Ensure that all marketing programs are running on time.
Screening and directing phone calls; handling inquiries, and providing proactive customer service to deliver the highest level of service to all our clients.
Handling requests and queries quickly, professionally, and courteously.
Scheduling meetings and appointments.
Tracking expenses accurately and creating effective budgets.
Producing budget and financial reports, presentations, and briefs.
Hold weekly accountability reviews of team goals.
Assisting clients and helping them to have an extraordinary experience.
Managing day-to-day office operations.
Lead Management Assistance.
Marketing of Listings, Business, and Team through social media and other avenues.
Helping clients through the closing process.
(Eventually) Hiring, training, and holding team members accountable.

Qualifications:
Outstanding organization.
Strong attention to detail.
Tech-savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly.
Proficiency with Google suite of products (docs, sheets, slides).
Able to multitask and prioritize daily workload - can work on multiple projects at once.
Able to work independently to support a team and appropriately manage time.

Real Estate Assistant or Transaction Coordinator experience is preferred but not essential.
College degree and social media experience preferred.
Candidate must possess a valid driver’s license and working vehicle.

This person must have a Can and Will Do attitude.
This person will do anything and everything they need to free their agents up to sell.
